Privacy notice

This notice says what the service does with personal information. Email hello@deskoncall.com for privacy requests. The terms page names the business.

Business contacts

When you start a 14-day free trial we store the business name, business type, contact name, email, phone, and the password hash or sign-in link. We also store the terms tick and the POPIA tick. These are used to run the account, send the service emails, and take the PayFast subscription.

Your customers

A customer who chats or books may give a name, a mobile number and an optional email so the appointment can be made, confirmed and reminded. DeskOnCall processes that information for your business only. We do not sell personal information. When details are collected, the chat shows one short line and a required tick to use those details for that booking. A second tick for news and offers is optional and starts unticked. This page is the full notice. The customer can ask for export or deletion.

What the receptionist does not collect

It is built not to ask for symptoms, history, photos or a diagnosis, and not to give medical, financial or legal advice. A question it cannot answer from the answers you approved is escalated to the contacts you gave us.

Healthcare

Health information is special personal information. A healthcare business cannot go live until the POPIA review for that business is finished. The chat still must not collect health details. See the clinics page.

How long

The default retention on a business is 365 days. Hosting for a live client is named in the operator terms. You can ask for export or deletion of your account details at hello@deskoncall.com.

Cookies and tracking

Essential cookies remember your sign-in and your cookie choice. They are not used for ads. Marketing and analytics cookies, and the server calls that go with them, stay off until you choose Accept, or turn Marketing and analytics on under Manage. Reject leaves them off. Cookie settings in the footer stores a new choice and can withdraw an earlier one. The choice cookie lasts 180 days.

If you accept, the browser may load the Meta Pixel and the Google tag (Google Ads remarketing, Google Ads conversion measurement, and Google Analytics 4 when that tag is configured). The same events can be sent from our server to Meta's Conversions API, using the same event id so Meta can count the browser event and the server event once. A confirmed subscription is also sent as a Google Ads conversion from the server, with the same transaction id as the browser. Meta Platforms Ireland Ltd. and Google Ireland Limited are the operators of those tags. The purpose is to measure visits to this site and to show or limit ads, including excluding people who are already clients. Where you have accepted marketing cookies, the server may send a hashed email address and a hashed phone number with the subscription events. The hash is not the address itself. We do not send the card number.

Meta and Google keep event data for the periods they publish in their own notices. You can opt out here with Reject or Cookie settings, and you can use the opt-out controls those companies provide in their own accounts and browser tools. Withdrawing consent stops new tags and new server calls from this site. It does not delete an event already received by Meta or Google; ask them, or email us and we will pass on a deletion request that we can make.

Operators

PayFast processes the card. DeskOnCall stores the subscription token and status, not the card number. Email is sent from hello@deskoncall.com.

The information officer contact is hello@deskoncall.com. Privacy questions and objections to tracking go there.
